Position Overview
The Art Department Team is seeking a Production & Operations Manager to oversee all financial, calendar and logistic planning for all Ralph Lauren productions. This position is responsible for building out and maintaining the department’s end-to-end process, D&I set approvals, building short-and long-term resource plans and managing logistics and budget for internal prop library. This role is critical to driving day-to-day department operations and managing financial planning,shoot scheduling, and logistic planning for all Ralph Lauren productions. This individual should be comfortable working in a fast-paced, high volume, environment and skilled in maintaining and continuously improving upon workflow & financial efficiencies where superior interpersonal and organizational skills are a must.
Essential Duties & Responsibilities
Oversee the business and financial matters of the Set Design department
Partner with Set Design Lead and Production Leads to manage the Advertising shoot schedule details,resource plan and budget
Coordinate with both in-house and freelance set design talent to maintain and track all shoot logistics and costs for each shoot.
Manage Department Freelance and Vendor on boarding process and contract management
Liaison Set Design’s communications between vendors, fabricators, freelancers, internal D&I and Operations teams, Production and external Production partners
Partner with project leads to generate accurate budget estimates and track costs through project completion,create summary of actuals at the end of each project.
Oversee set constructions in-studio and on location; execute build according to pre-determined specifications and provide creative solutions for any complications.
Research, source, and complete prop purchases, rental orders, inventory pulls, internal product borrows within budget and by deadline; translate custom orders to fabricators, upholsterers, and vendors.
Confirm prop assistant schedule & needs for each production; manage communication with freelancers making sure they have the information and supplies needed to perform their tasks.
Manage the props warehouse inventory and budget; oversee organization, resolve furniture damage efficiently and within budget, obtain approval for pieces to donate or dispose of.
Reconcile all shoot related billing and expenses; complete expense reports, coded to the proper projects.
Grow and develop new talent
Identify areas for process improvement, across all brands and with cross-functional partnerships
